Job Summary:
We are seeking a highly organized and detail-oriented Event Coordinator to join our dynamic marketing team. In this pivotal role, you will manage a variety of external events, both in-person and virtual, ensuring each experience aligns with our brand’s vision and goals. You will collaborate closely with the Event Marketing Manager and internal stakeholders to develop comprehensive event strategies, oversee logistics, and handle attendee management. Your strong communication skills will be essential in liaising with vendors and engaging with attendees.

Position Overview:
  • Assist in the planning, coordination, and execution of external events.
  • Collaborate with the Event Marketing Manager to develop event strategies that align with our organization's goals and objectives.
  • Manage event logistics, including transportation arrangements and rooming lists.
  • Ensure timely preparation and delivery of all event materials, such as marketing collateral and promotional items.
  • Oversee event registration and attendee management, including RSVP lists and pre- and post-event communications.
  • Partner with internal stakeholders—marketing, sales, and creative teams—to maintain consistent event messaging and branding.
  • Track and manage event budgets and expenses.
  • Conduct post-event evaluations to assess success and identify areas for improvement.
  • Schedule content calls and planning meetings with stakeholders.
  • Manage event incentives, including attendance reports and gift card orders.
  • Coordinate with the creative team to develop event marketing materials, such as invitations, signage, and promotional items.
  • Create and distribute Cvent invites for both virtual and in-person events.
 
What you’ll do as the Event Coordinator:
  • Assist in planning and executing external events, managing logistics, and ensuring smooth operations.
  • Work with the Event Marketing Manager to align event strategies with organizational goals and collaborate with internal teams for consistent messaging.
  • Oversee event logistics, prepare marketing materials, and manage attendee registration and communication.
  • Track event budgets and expenses to ensure financial accountability.
  • Conduct evaluations to assess success and identify areas for improvement.
  • Manage event incentives and coordinate the creation of marketing materials, including Cvent invites for events.
 
What you will bring to the team:
 
  • Bachelor’s degree in hospitality, marketing, or a related field (preferred).
  • Proven experience in event planning or coordination.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in project management software and tools.
  • Flexibility to work evenings, weekends, and holidays to travel as needed.
  • Attention to detail and strong problem-solving capabilities.
  • Creativity and the ability to think outside the box.
  • Ability to thrive under pressure and meet tight deadlines.
Compensation: 
Qualified candidates can expect a salary range of $65,000 - $80,000.
